Zone Creation

Establishing Zones is a crucial aspect of ensuring security and accountability within our system. Incorrect setup can lead to confusion among staff regarding the purpose of specific alerts. It’s imperative that the Terms and Zone Type are always aligned. The terms instruct the system on what to exclude and what to enforce, thereby maintaining the integrity of our operations.

Pass Requests

The accurate approval of a pass or calendar item is pivotal in facilitating our clients’ successful reintegration into society. It is our responsibility to ensure that each pass request is correctly processed and completed, as this is not only a duty to our clients but also to society at large. By leveraging facial recognition and zone technology, we can effectively hold our clients accountable.
 
 

Setting a Reference Photo

Our program operates fundamentally on the principles of facial recognition and identification. This advanced technology is employed to authenticate that the individual using the phone is indeed the authorized user. The key to this process is setting a high-quality reference photo. Today Starts the New Series over Air. Sorry, it’s been a while folks but hopefully we’ll be back on track for awhile now. . Announcements

1. Computer Testing has concluded thank you to those who took it within the allotted time frame. Allen myself or Troy will be reaching out to the supervisors of those those who didn’t.

2. The new logbook is coming along nicely and will hopefully be launching in June or July.

3. A new form was added to the Forms Bureau that is used to track demographic information of anyone releasing from our programs.This form is filled out by Case Managers and EM folks. Filling this out will strengthen COF endeavors and ventures in the future.

We’ve been working extra hard to get the new logbook ready to go. Our main objective with the redesign was to consolidate the number of places a shift has to spend their time. The new logbook features integrations with some of our forms. Including the Movement Form and the End of Shift. It’ll have better filtering and feature a Headcount module. This will allow us to streamline some of our processes and make the demand a little less on security staff. We will also be hopefully shortening the End of Shift Report at launch since much of the data is also being captured in the Logbook. Prior to official launch Tutorials and Training will be coming.

In our field, it’s imperative that we understand the tools we have available to us part of this process is evaluating the components that make up the tools Air is one of the most essential tools on the belt. The dashboard is our snapshot  into the current activities of our clients. It allows us to track, identify, and resolve potential issues. By learning the dashboard effectively, we strengthen our commitment to accountability.

By Special Request, I’ve been asked to go over how to save a document as a PDF. Saving documents as PDFs, rather than printing, offers several advantages. Firstly, it’s environmentally friendly; it reduces paper waste and conserves resources. Secondly, PDFs are easily shareable and maintain the integrity of your document’s format across different devices and platforms. Lastly, the process is straightforward—the easiest way for most programs is through the print dialogue. Simply choose ‘Print’ and then select ‘Save as PDF’ instead of a printer. This small step not only saves physical space but also contributes to a more efficient and organized digital workflow.

Hey Everyone! It’s been a minute since I’ve had time to hit on one of these. Next week I will go over how to do some of the HR and financial forms for requesting reimbursement, or reporting finances. Computer Testing

The new implementation of computer testing at City of Faith is designed to evaluate the skill levels of all staff members in handling the technology that is integral to our field. This assessment helps identify areas where additional training may be necessary, ensuring that everyone is capable of effectively using our systems and tools. It’s a proactive approach to maintain high standards of technological proficiency across the organization.

There will be different proctors at each location who will be available for schedule times.

Chronological Record

Chronological records are vital for capturing events that don’t necessarily qualify as incidents but still require documentation. These records serve as an official log of unusual occurrences that may not warrant an incident report but are significant enough to be communicated to relevant parties. By documenting these events and emailing them to the appropriate individuals, we ensure transparency and maintain a comprehensive history of facility operations. This practice upholds the principle that if it’s not documented, it’s as if it didn’t happen, reinforcing the importance of keeping accurate and detailed records.

Procedures for an Unaccounted Resident

The
“Procedure for an Unaccounted Resident” escape form serves a critical
purpose in ensuring the safety and accountability of all residents
within a facility. It is a structured protocol that is necessary when a
resident cannot be located, potentially indicating an emergency
situation. This form guides staff through the necessary steps to
efficiently search for and, if necessary, escalate the situation to
higher authorities or emergency services. This procedure helps to
minimize risk and ensure a swift response to protect the well-being of
the residents.

PREA Form

Completing
a PREA (Prison Rape Elimination Act) form is essential for maintaining
the highest standards of confidentiality and safety within correctional
facilities. It serves as a critical tool for reporting incidents of
sexual abuse or harassment, ensuring that all reports are handled with
the utmost discretion to protect the privacy and dignity of the
individuals involved. The PREA form is a key component in fostering a
secure environment that upholds the rights and safety of all residents,
while also complying with federal regulations aimed at eliminating
sexual misconduct in confinement settings.

Tech Tuesday Series 3 Part 4: There’s Always a Bigger Form

Carrie Williams and I went to Sheriff Con yesterday as part of our Electronic Monitoring initiative.
2. Cofess Login for Help Desk Restored
Cofess login is fully functional. Due to a token error with freshdesk however, the google login now requires refresh before login.

3. First users have been set up on EM

Traveling Next Week

I’ll be traveling to Baton Rouge and Monroe Next week.
What that means is I’ll be holding trainings while in your locations.
Baton Rouge 2/6
will be hosted from 8 AM to 11 AM on Tuesday and Again at 2 to 4:30 PM
If you are one of the people who need help with Teams or Last Pass Please come then.
Monroe 2/7 and 2/8
The first time slot will be at 1:30 to 2:30 PM and then again immediately following your CPR training from 3 PM to 5 PM.
The final Time slot will be Prior to departure on 2/8 from 9-10 am.

Sometimes we have to confiscate items from a resident and that can cause a struggle with determining a chain of custody and where an object ended up and who took it. This form aims to fix that!

How To Do a UA Walk in 

The amount of UA disruptions we encountered due to Weather in January showed us that we needed to go over how to do this. In phamatech a person who walks in to complete a UA must be completed using the On Demand Function. To make sure your doing it correctly please review the guide Here.

Alcohol Testing

Alchohol Testing is an important part of any RRC’s Operating procedures.Click Here or the image above for Instructions

The SOW says:

E. Alcohol Testing – The contractor will maintain a surveillance program in order to deter and detect introduction or use of alcohol in the facility. All residents will be tested when they return to the facility from an unsupervised activity.

The contractor will maintain a log documenting:

  • resident tested;
  • staff performing the test;
  • date, time and type of test administered;
  • test result; and
  • a column to indicate if the resident refused to cooperate.

City of Faith has designed a form to track and record these results as they occur that way the data never gets lost. If someone’s over the limit it provides a link to the IR form and automatically sends the logs to the residents Case Manager.

Emergency Drills
Emergency Drills are an important part of our day to day jobs.

The SOW says :

FIRE EVACUATION AND EMERGENCY PLANS – The contractor will maintain current written emergency plans. The contractor will train all staff in emergency procedures within one week of their initial employment. In addition, the contractor will include emergency training in annual refresher training for all staff. The contractor will document all training in the staff member’s personnel file.

So naturally that means it’s pertinant for us to have a method and a way to easily find and access that information if we need it.Additionally this form has a built in workflow where when you select Facilities it automatically gets set on to everyone required to receive it.

Dietary Request Form

The Dietary Request form is an easy way for Residents to submit dietary requests to the Facility Director and provides a straight forward way for all Administrative parties to approve or deny them. It also prevents any Resident from submitting the request without the proper Documentation.
